9.12 Tenants

9.12.1 Introduction

This feature allows tenants in the same building and floors to access and monitor data from their own sensor/Response Radios via the Response Portal & Response API. Building administrators can create new tenants representing companies that might share a floor or occupy different floors in a building.

A Simple Use Case: For example, ALFA is a building with two floors where A, B, and C are 3 different tenants. Tenant A has one floor, whereas tenants B & C share the other. Now, the facility manager from Tenant B can access the live presence data of Tenants A and C. This can present a privacy and security issue unsuitable for sensitive industries. This can be solved by creating 3 different tenants.

In such cases, the building manager/administrator will, by default, have permission to create 3 tenants, assign sensor/passive devices to their respective tenancy and invite users to their own Tenancy. In doing so, all tenants can now only see data and control their Response Nodes.

9.12.2 How It Works

Each Response Portal building has one or multiple users that can be given an administrator role. Such administrators will have the ability to set up Tenants by following steps below,

  1. Ensure you have the “manage tenancy” permission for creating new tenants.

  2. Create/edit New Tenants from the building administration.

  3. Assign/Remove nodes (sensor/passive) to tenants and

  4. Invite/remove users from tenancy

The detailed steps are explained below,

9.12.2.1 Manage Tenant

The first necessary step for creating tenant is to make sure you have the right access to roles. You can get the required permission by checking the permission box under “Manage Tenant“ for your role from the “Roles” page if you are already a building administrator.

If you have limited access please contact your building administrator and request the permission to “Manage Tenant“ for your assigned role.

9.12.2.2 Create/Edit A New tenant

Now you can start setting up new tenants e.g. you can create a “Tenant A”. Creating this tenant will automatically generate tag name on Response Nodes page e.g. tag “tenant A“ will appear on nodes page. Once created you can assign nodes to this tenancy. The steps are as shown below,

  1. Click on the + button under the tenants section on the left

  2. Type a tenant name you would like to create (for example; Tenant A, Tenant B and Tenant C) and

  3. Click on ‘Save’ & list will show all created tenants within this building.

You can easily edit the name by clicking on the yellow edit icon next to the tenant or delete ALL the users associated with the tenant by clicking on the red button.

9.12.2.3 Manage Tenant Users

This section allows building administrator to manage (view / edit) users assigned to any tenancy. To add new users to the building and tenancy you can follow the steps detailed here on how to invite a new user.

Once the user has accepted the invitation, the user name and their tenancy will be listed under this section. The below image shows an example with a list of tenant users.

In order to manage users as building admin you can use the following options accessible from the numbered options from the above figure,

  1. Delete a user from a tenancy by clicking on the bin icon next to the tenant. Deleting a tenant will remove all access to the Response Portal for deleted user. Click confirm to complete the action.

  2. If a user is already given building level access you can click on the plus icon, select their name from the list & assign them to a particular tenancy. Once assigned the user will lose building level privileges and will only have view only access to data that belong to their assigned tenancy.

  3. You can edit a user to change their tenancy from one tenant to another. Click on edit and a popup window will appear. Click on the down arrow to choose from the list of tenants created in the building to change the user from current Tenant e.g. tenant A to a different tenancy.

9.12.2.3 Assign Nodes to Tenants

All created tenants will have an associated tag automatically generated on the Response Nodes page. Now, you can simply proceed to tag the Response Nodes to different tenants just like you would normally tag nodes in the Response Portal. The tenant tag will have a new icon showing next to their name as shown highlighted in the screenshots below,

You can choose the node one by one or using the selection tools on the floor plan and check the box next to tenant name to assign them to a tenancy, for example,

9.12.2.4 Tenancy Data

Data sets (such as presence, light levels, or connectivity) are aggregated based on their tenant, meaning that data from Response Nodes belonging to tenant B will not contribute to the data set belonging to tenant A. As a building admin you will have access to all the data even if it doesn’t belong to any tenancy. Head over to “being a tenant“ to read more on what you can see or manage as a tenant.

9.12.2.5 Managing Tenant Tag on Response Node Page

In the Response Node page the edit option for any tenant will allow you to simply change the colour of the Tenant Tag. Click on the edit icon and choose the Response Node icon to change the colour of the tenancy tag.

You will not be able to delete or remove a tenant tag therefore the “x“ delete button is disabled. Head over to “being a tenant“ to understand what you can manage if you are a tenant admin.
